1. Privacy in practice
Vadio is developed with privacy as a core principle. Customers always own their content. All data is stored within the EEA. Video, audio and text are used solely to provide the Service. Artificial intelligence is used as a support tool and does not perform automated decision-making with legal effect. Data can be deleted or exported upon request. Vadio does not share data with third parties for commercial purposes.
2. Who we are
Vadio AS (“Vadio”, “we”, “us”) provides digital video services for meetings, inspections, documentation, consultations and remote support (the “Service”). This Privacy Policy explains how we collect, use and protect personal data in connection with the use of the Service.
3. Roles under data protection legislation (GDPR)
Depending on how the Service is used, Vadio may act either as a data controller or as a data processor. When Vadio processes personal data related to its own operations, customer administration and marketing, Vadio acts as a data controller. When the Service is used by our customers in relation to their own customers or end users, Vadio acts as a data processor pursuant to an applicable Data Processing Agreement. In such cases, the customer is the data controller and is responsible for establishing a lawful basis for processing and for informing end users.
4. Categories of personal data processed
Vadio may process account and user information such as name, email address, role and affiliation with an organization. Meeting and content data may also be processed, including video, audio, chat messages, files, screenshots, transcripts and summaries. We also process technical data and logs such as IP address, browser type, device type, timestamps and error logs. Communications with customer support and dialogue via email or in-app messaging may be stored. Payment information is processed by a third-party provider (Stripe). Vadio does not store credit card details.
5. Purpose of processing
Personal data is processed to provide and operate the Service, manage customer relationships, deliver customer support, ensure stability, quality and security, and to analyze and improve functionality.
6. Use of artificial intelligence (AI)
Vadio uses artificial intelligence to support and streamline users’ work, including meeting transcription, generation of summaries, structuring of meeting and inspection content, and production of documentation and reports.
AI functionality is applied solely to customer-provided content, is not used for automated decision-making with legal effect, and is not used to train general AI models without explicit agreement. Customers always retain ownership of their content, including AI-generated outputs.
7. Data retention, deletion and export
Personal data is retained for as long as necessary to provide the Service or as required by applicable law. Upon termination of a customer relationship, data is deleted or anonymized in accordance with applicable routines, unless otherwise required by law or agreement. Customers may at any time request access to, export, correction or deletion of their data.
8. Data sharing and data processors
Vadio uses trusted third-party service providers to operate the Service, including infrastructure and hosting, video and communication services, analytics and error monitoring, customer support and payment solutions. These providers process personal data solely on our behalf and in accordance with data processing agreements.
9. Transfers of data outside the EEA
Personal data is primarily processed within the EEA. Where transfers outside the EEA occur, such transfers are carried out in compliance with GDPR, including through the use of the EU Standard Contractual Clauses (SCC).
10. Cookies
Vadio uses cookies to ensure functionality, analytics and to improve the user experience. The use of cookies can be managed through browser settings.
11. Your rights
You have the right to access your personal data, request correction of inaccurate data, request deletion where conditions are met, request restriction of processing, and lodge a complaint with the relevant supervisory authority.
12. Changes to this Privacy Policy
This Privacy Policy may be updated as necessary. Material changes will be communicated via email or published on our website.
